Cancellation & Payment Policy – Formentera Retreats

Thank you for your interest in joining one of our retreats. Please read our payment and cancellation policy carefully before confirming your booking.

How to Confirm Your Reservation:
To confirm your booking, please email us at info@formenteraretreats.com.
We will then send you our bank details and further instructions to proceed with your deposit payment.

To issue your invoice, we require:

  • Full name

  • Full address

  • ID or Passport number

    Due to the limited spaces available, we kindly request that your deposit is transferred within 48 hours of receiving our payment details. If payment is not received within this timeframe, your booking cannot be guaranteed.

Payment Schedule:
€750 deposit is required to reserve your space.
Remaining balance is due 90 days prior to the retreat start date.

Bank transfer fees or any international commissions are the participant’s responsibility. Please ensure your payment is sent via SEPA transfer or select the option to cover all transfer costs.


Cancellation Policy:
Due to the intimate nature and limited capacity of our retreats, all payments are non- refundable in cash. However, your paid deposit may be credited toward a future retreat, depending on when you cancel:

Cancellation Terms:
90+ Days Before Retreat Start Date: 100% of your deposit can be used as credit toward a future retreat, minus a €100 administrative fee. Credit is valid for any retreat taking place before the end of the following calendar year, subject to availability.

60–89 Days Before Retreat Start Date: 50% of paid amount can be used as credit toward a future retreat, valid for any retreat before the end of the following calendar year, subject to availability.

0–59 Days Before Retreat Start Date: No credit will be issued; all payments made are non-transferable.

Please note: Credit can only be applied toward future retreats and is not redeemable for cash.

Important Notes:

Credits are non-transferable and cannot be exchanged for cash.
If the new retreat has a higher price than your original booking, you will be responsible for paying the difference.


Travel Insurance:

We strongly recommend purchasing comprehensive travel insurance. Please ensure your policy covers:

  • Trip cancellation

  • Travel disruption

  • Illness

  • Yoga / Pilates activities

  • Horse riding

Agreement to Terms:
By proceeding with the payment of your deposit, you confirm that you have read, understood and agreed to this Cancellation & Payment Policy in full.

Summary

Deposit:

  • 100% deposit credit (minus €100 administrative fee) for cancellation 90+ days before retreat start date.

  • 50% credit of paid amount for cancellation 60–89 days before retreat start date.

  • 0% deposit credit for cancellation 0–59 days before retreat start date.


Remaining Balance:

  • Remaining balance is due 90 days (3 months) before the retreat start date.

  • If you cancel 0–59 days before your retreat start date, remaining deposit and/or remaining balance cannot be credited toward a future retreat.


Terms & Conditions

Formentera Retreats

Effective Date: 01-01-2026

These Terms & Conditions govern all bookings made with Formentera Retreats (“we”, “us”, “our”). By confirming a booking and paying a deposit, you (“the Participant”) agree to the following terms.

1. Booking & Payment:

A booking is confirmed only upon receipt of the required deposit. Payment schedule:

  • €750 deposit to secure your space

  • Remaining balance due 90 days (3 months) prior to retreat start

  • Optional: €750 of the final balance may be paid on arrival, upon prior agreement

    Failure to complete payments by the due dates may result in cancellation of your booking without refund.

    All bank transfer fees are the responsibility of the participant.

2. Cancellation Policy:

All payments are non-refundable.

Depending on the timing of cancellation, a credit may be issued in accordance with our published Cancellation Policy.

Credits:

  • Are non-transferable

  • Cannot be exchanged for cash

  • Must be used before the end of the following calendar year

  • Are subject to availability

3. Assumption of Risk & Liability:

Participation in retreat activities, including but not limited to:

  • Horse riding

  • Yoga

  • Swimming

  • Excursions

  • Outdoor activities involves inherent physical risks.

    By booking, you acknowledge and accept full responsibility for your participation. You understand that horse riding and physical movement activities carry risk of injury.

    Formentera Retreats, its facilitators, staff, partners, and property owners shall not be held liable for:

  • Personal injury

  • Illness

  • Loss or damage to personal belongings

  • Travel disruption

  • Accidents occurring during retreat activities Participants join entirely at their own risk.

4. Medical Responsibility:

By attending the retreat, you confirm that:

  • You are physically and mentally fit to participate

  • You have disclosed any relevant medical conditions

  • You are not under the influence of substances that may impair participation

  • You take full responsibility for your own health and wellbeing

We reserve the right to refuse participation in any activity if deemed unsafe.


5. Travel & Insurance:

Participants are responsible for:

  • Flights

  • Ferry transport

  • Travel documentation

  • Personal insurance

We strongly recommend comprehensive travel insurance covering:

  • Trip cancellation

  • Medical expenses

  • Travel disruption

  • Horse riding

  • Yoga and physical activities

    Formentera Retreats is not responsible for missed flights, ferry cancellations, delays, or personal travel disruptions.

6. Force Majeure:

  • Formentera Retreats shall not be liable for failure to perform obligations where such failure is

caused

  • Severe weather

  • Natural disasters

  • Government restrictions

  • Strikes

  • Ferry cancellations

  • Pandemics

  • Acts of God

    In such cases, we reserve the right to:

• Modify the retreat schedule by events beyond reasonable control, including but not limited to:

  • Substitute activities

  • Offer alternative dates

  • Issue credit

    No refunds will be issued under force majeure circumstances.

7. Minimum Participant Requirement:

Retreats require a minimum number of participants to operate. If the minimum number is not met, we reserve the right to:

  • Cancel the retreat

  • Offer alternative dates

  • Provide a credit toward a future retreat

    Participants will be informed as early as possible.

8. Changes to Itinerary:

While we aim to deliver the retreat as advertised, we reserve the right to make reasonable changes to:

  • Schedule

  • Accommodation

  • Facilitators

  • Activities

If required due to safety, logistics, or circumstances beyond our control.


9. Code of Conduct:

We are committed to creating a safe and respectful environment.
We reserve the right to remove any participant without refund if they:

  • Engage in disruptive or inappropriate behaviour

  • Endanger themselves or others

  • Act irresponsibly around horses

  • Violate local laws

10. Personal Property:

Participants are responsible for their own belongings. We are not liable for loss, theft, or damage.

11. Photography & Media:

During the retreat, photographs and videos may be taken for marketing purposes.

By attending, you grant Formentera Retreats permission to use images containing you for promotional use unless you notify us in writing before the retreat begins.

12. Data Protection:

We collect personal information (including identification details) solely for booking and legal compliance purposes.

Your data will be handled in accordance with applicable Spanish and EU GDPR regulations and will not be shared with third parties without consent unless legally required.

13. Governing Law:

These Terms & Conditions are governed by and construed in accordance with the laws of Spain.

Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the Spanish courts.

Acceptance of Terms:

By paying the required deposit, you acknowledge that you have read, understood, and agreed to these Terms & Conditions in their entirety.

A booking is considered confirmed only once the deposit has been received and written agreement to these Terms has been provided via email.
